- When you upload a CDIF file using the "Delete and Load" mode, the system replaces your existing data with the new data in your file. However, the behavior is more nuanced than a simple replacement of everything. Here is exactly what happens:
- For each tab in your CDIF that passes validation without errors, the existing data for that category is removed and replaced with the new data from your file. If a specific tab in your CDIF contains validation errors, the existing data for that tab is retained and not deleted. Only tabs with clean, error-free data are updated.
- This means that if your Partners tab (Tab 1) passes validation but your Site List tab (Tab 6) has errors, only the partner data will be replaced. Your existing site data will remain unchanged until you fix the errors and upload again.
- Key behaviours to understand:
- Supplier contact information (non-emergency contacts) uploaded in the Partners tab will be replaced with the contacts in your new file.
- Emergency contacts are also replaced when the corresponding tab passes validation.
- Supplier categories are replaced for the affected partners.
- Custom risk scores (Partner Custom Defined Risk Scores 1-5) are overwritten with the values in your new file.
- If you leave a field blank in your CDIF, the existing value for that field will be removed (set to blank) after loading.
- Supplier normalization mappings are retained; you do not need to re-establish them.
- Before performing a Delete and Load, we strongly recommend:
- Downloading your current Master Data File from the Data Load section as a backup.
- Ensuring all tabs contain complete and current data, since any tab that loads successfully will completely replace the previous data.
- Verifying your file in Append mode first if you are unsure about the data quality.
- If you want to add new records without removing existing ones, use the "Append" (also called "Load") mode instead.
