Why does a supplier’s impact status show as “Potential” even after the supplier responds as “Not Impacted” in a WarRoom?

  • In Event WarRooms, the supplier-level impact status is calculated based on the combined impact responses of all sites associated with that supplier, not just the overall supplier response.
  • The platform follows this aggregation logic:
  1. Not Impacted
**The supplier status updates to **Not Impacted only when all associated sites have explicitly responded as Not Impacted.
  2. Impacted
**If **any one site responds as Impacted, the overall supplier status is immediately set to Impacted.
  3. Potential
**The supplier status remains **Potential if:
    • At least one site has a Potential status, or
    • Some sites have responded as Not Impacted while others are still Potential, or
    • One or more sites have not submitted a response (including cases where an impact confirmation request was not sent due to configuration or notification settings).
  • Because the system uses a most-conservative approach, the presence of even a single site with a Potential status prevents the supplier from being marked as Not Impacted. This ensures that unresolved or uncertain site-level risks are not overlooked at the supplier level.
  • To validate why a supplier shows Potential, users should review the site-level details within the WarRoom to identify:
    1. Sites that are still marked as Potential
    2. Sites that have not responded
    3. Sites that may not have received an impact confirmation request due to configuration settings

Once all sites associated with the supplier confirm Not Impacted, the supplier-level status will automatically update to Not Impacted.
